Effective date: August 3, 2026. This policy explains how The Syndicate handles information collected through syndicateguild.com.

Information we collect

When you submit a community, newsletter, or contact form, we may collect the information you enter, such as your email address, first name, state, league or tournament affiliation, competitive interests, Discord username, organization, public website, and message.

For security, campaign measurement, and troubleshooting, form submissions may also include referral and advertising parameters, a one-way hash derived from the submitting internet address, the browser user-agent string, the submission time, and the page or campaign source.

How we use information

We use submitted information to operate the community, respond to requests, send requested updates, understand player interests, improve website content, evaluate advertising performance, prevent duplicate or abusive submissions, and maintain basic administrative records.

Advertising and analytics

The website uses Google Analytics and may use Google Ads conversion measurement. These services can process device, browser, page, referral, and interaction data under their own terms. Advertising parameters such as a Google Click ID may be stored with a form submission so The Syndicate can measure whether advertising produced a legitimate community signup.

A short-lived confirmation cookie may be set after a new pool-community signup. It exists only to prevent duplicate conversion reporting and expires automatically within approximately ten minutes.

Storage and protection

Website form records are stored in a restricted server directory outside the public website files. Reasonable technical controls are used to limit public access, but no internet transmission or storage system can be guaranteed to be completely secure.

Sharing and sale of information

The Syndicate does not sell personal information. Information may be processed by service providers needed to host the website, deliver email, provide analytics, measure advertising, or protect the service. Information may also be disclosed when reasonably necessary to comply with law, protect rights or safety, investigate abuse, or preserve the security of the website.

Retention

Information is retained only as long as reasonably needed for the purposes described here, including community administration, recordkeeping, security, and campaign analysis. Records may be removed, anonymized, or consolidated when they are no longer needed.

Your choices

You may ask to stop receiving community updates or request correction or deletion of information you submitted. Use the contact page and identify the email address used for the submission. The Syndicate may retain limited records when necessary for security, legal compliance, or suppression of future messages.

Children and minors

The website is not directed to children under 13. Players under 18 should participate with a parent or guardian's permission. Do not submit personal information for a child without appropriate authorization.

External links

The website links to leagues, tours, social platforms, Discord, video services, and other third-party sites. Their privacy practices are controlled by those third parties, not by The Syndicate.

Changes to this policy

This policy may be updated as the website, community, or measurement tools change. The effective date at the top of this page will be revised when a material update is published.
